You know who is responsible, what you are paying for and why
This page is for whoever signs off the budget and whoever checks the supplier. It sets out how we agree the work, how we report on it, how we invoice and how we use AI with your data.
Four commitments on every account
A named director
One senior person is responsible for your account from the first call onwards. You have their name and their direct contact, and they answer for the results.
A written mandate
Before anything launches we agree, in writing, your objectives, your budget limits and what we will measure. We do not spend beyond those limits without your written approval.
A monthly statement
Once a month, in plain English: what we spent, what it returned and what we will change next. You can have dashboard access too, but you will not need it.
A reply within one working day
Write to your director or to us and you receive an answer within one working day. If the full answer needs longer, you will know when to expect it and why.
How we contract and invoice
- 01A written proposalAfter the first call we send a proposal setting out the scope, what is included, what is not, and the fee. You can share it internally and come back with questions.
- 02A clear scopeThe agreed scope becomes part of the mandate. If the work needs to change, we tell you first and agree the change in writing before we do it.
- 03Monthly invoicingOngoing services are invoiced monthly.
- 04No long lock-insWe do not ask for long minimum terms unless we have agreed one with you for a specific reason.

Ad accounts, analytics properties and domains are set up in your name wherever the platform allows, so you keep ownership if we part ways.

How we use AI responsibly
AI DOES
- Reads large volumes of data, such as search terms, analytics and ad reports, and flags what looks wasteful or unusual
- Drafts copy, summaries and variations for a person to review
- Checks tracking, page speed and settings against a list, every time, without skipping steps
YOUR SPECIALIST DECIDES
- Reviews every AI output before it reaches your accounts, your website or your customers
- Decides what to change, what to stop and what to recommend to you
- Remains accountable to you by name for every decision taken on your account
Your data
- We handle personal data in line with UK GDPR, and agree data processing terms with you where we act on your behalf.
- Your data is never used to train public AI models.
- We share with AI tools only what a task needs, and we can work without them on any data you ask us to keep out.

Who is responsible for my account at Polignac?
Every Polignac client has one named director who is responsible for the account from the first call. You have their name and direct contact. They agree the written mandate with you, sign off the monthly statement and answer for the results. Enquiries reach the managing director first, and you receive a reply within one working day.
What is in Polignac’s written mandate?
The mandate is a short document agreed before any work launches. It sets out your objectives, the budget limits we must work within and the measures we will use to judge progress. Polignac does not spend beyond those limits without your written approval, and any change to scope is agreed in writing before the work is done.
