AI · PROCESS OPTIMISATION
Take the repetitive work out of one process at a time
We find the process that costs your team the most hours, redesign it with AI doing the routine steps, and keep a person in charge of every decision.
Start where the hours go
Every business has a few processes that eat time without adding much: copying details from emails into a system, writing the same kind of report each week, checking invoices against orders, answering the same internal questions. People do them carefully, but slowly, and they rarely have time to fix them.
We work on one process at a time. We sit with the people who run it, map every step, and mark which steps need judgement and which are routine. Then we redesign it so AI handles the routine steps, such as reading, sorting, extracting and drafting, and a person approves, corrects or decides.
The result is a working process, documented and tested on real cases, not a slide deck. If it does not save meaningful time in the pilot, we say so and stop.
What’s included
Process mapping
A step-by-step map of how the work really happens today, including the workarounds, the waiting time and the places errors creep in.
Redesign with clear hand-offs
A new version of the process that shows exactly which steps AI performs and where a named person reviews, approves or overrides.
Tool selection and set-up
We use the tools you already pay for where possible, and recommend additions only when they are clearly needed, with their data terms explained.
Pilot on real cases
A controlled trial on a sample of genuine work, run side by side with the old process so the comparison is fair.
Documentation and handover
A plain-English procedure, review checklist and short training for the people who will run the new process every day.
AI AT WORK
Where AI does the work
AI DOES
- Reads incoming documents, emails or forms and extracts the fields your team currently retypes
- Drafts routine replies, summaries or weekly reports in your house style for a person to approve
- Checks records against each other and flags mismatches, rather than leaving someone to scan every line
YOUR SPECIALIST DECIDES
- Your process owner approves the redesign and decides which steps AI is allowed to perform
- A named person reviews every output before it is sent, filed or acted on
- Exceptions, complaints and anything unusual go straight to a person, by design
How we work
- 01Choose the processTogether we pick one process with high volume and clear rules, and agree in a written mandate what we will measure and what is out of scope.
- 02Map itWe observe the work, map each step and record how long it takes, how often errors occur and where data comes from.
- 03Redesign and buildWe design the new process, set up the AI steps and the review points, and test them on past cases.
- 04PilotYour team runs the new process on live work for an agreed period, alongside the old one, while we track time and quality.
- 05Hand overWe document the final process, train the people who run it and send a plain-English report with the before-and-after figures.
HOW WE MEASURE
How we measure it
Before we change anything we time the current process and count its errors. The pilot is measured the same way, so the comparison is like for like. If the numbers do not justify the change, the report will say so.
- Time per case, before and after
- Error or rework rate
- Share of cases that still need full manual handling
- Time from request received to work completed
Is this right for you?
- One or two processes take far more staff time than they should
- The work follows rules your team could explain to a new starter
- You want a working result on one process before committing to a wider programme
- You need a person to remain responsible for each outcome

Questions we are asked
Which processes are good candidates for AI?
Processes with high volume, clear rules and lots of reading, typing or sorting tend to work well. Examples include processing enquiries, extracting data from documents, preparing routine reports and checking records against each other. Processes built mainly on negotiation, sensitive conversations or one-off judgement calls are usually better left with people, perhaps with AI preparing background notes.
What happens if the AI makes a mistake?
Every redesigned process includes review points where a person checks the output before it is used. We design the process so mistakes are caught there, not by your customers. During the pilot we log every error and adjust the instructions or the checks. Anything the AI is unsure about, or anything unusual, is routed to a person automatically.
How long does a process project take?
It depends on the process and how many systems are involved. As an indication, a single, contained process is often mapped, redesigned and piloted within a few weeks, but we confirm the timescale in the written mandate once we have seen the work. We prefer to finish one process properly than to start several at once.
